Analogy AI, Inc. — Privacy Policy

Analogy AI, Inc. ("Analogy AI," "we," "us," or "our") provides data services. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our websites (including analogyai.org), communicate with us, or use our services (collectively, the "Services").
1. Scope
This Privacy Policy applies to personal information we collect as a "controller" — that is, information about our website visitors, prospective and current customers, and business contacts.
Where we process data on behalf of a customer (for example, when a customer provides data for us to process as part of the Services), we act as a "processor" or "service provider." That processing is governed by our agreement with the customer, and the customer's own privacy policy — not this one — applies to individuals whose data appears in those datasets. If you believe your personal information appears in a customer dataset, please contact the relevant customer, or contact us at support@analogyai.org and we will refer your request to them where we are able to identify them.
If you work with us as a data contributor, Section 9 below also applies to you.
2. Personal Information We Collect
Information you provide to us:
- Contact and account information — name, email address, company, job title, and login credentials if you register for an account.
- Business communications — the contents of emails, forms, and messages you send us, including support and sales inquiries.
- Payment and transaction information — billing details processed by our payment providers (we do not store full payment card numbers).
Information collected automatically:
- Usage and device data — IP address, browser type, operating system, pages viewed, referring URLs, and timestamps, collected through log files, cookies, and similar technologies. You can control cookies through your browser settings; disabling them may limit some site features.
Information from third parties:
- Business contact information from publicly available sources or service providers, used for sales and marketing outreach.
3. How We Use Personal Information
We use personal information to:
- provide, operate, and improve the Services;
- respond to inquiries and provide customer support;
- process transactions and send related notices;
- send marketing communications you can opt out of at any time;
- monitor, secure, and debug our websites and Services;
- comply with legal obligations and enforce our agreements.
Where the GDPR or similar laws apply, we rely on the following legal bases: performance of a contract, our legitimate interests (such as operating and securing the Services), your consent (which you may withdraw at any time), and compliance with legal obligations.
We do not use personal information collected under this Policy to train AI models. Customer datasets are used only as instructed by the customer under our agreement with them.
4. How We Disclose Personal Information
We do not sell personal information, and we have not sold personal information in the preceding 12 months. We disclose personal information only to:
- Service providers — hosting, analytics, payment, communications, and similar vendors who process it on our behalf under contractual confidentiality and use restrictions;
- Professional advisors — lawyers, accountants, and insurers where reasonably necessary;
- Business transferees — in connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality;
- Authorities — where required by law, legal process, or to protect the rights, safety, or property of Analogy AI, our users, or others;
- Others with your consent or at your direction.
5. Security
We maintain physical, technical, and administrative safeguards designed to protect personal information appropriate to its sensitivity. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Data Retention
We retain personal information only as long as needed for the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data type and context; when information is no longer needed, we delete or de-identify it.
7. International Transfers
We are based in the United States and process information there. Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses. 8. Your Rights and Choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you, and receive a copy in a portable format;
- correct inaccurate information;
- delete your information;
- object to or restrict certain processing;
- opt out of marketing communications (use the unsubscribe link in any email, or contact us);
- not receive discriminatory treatment for exercising these rights.
To exercise any of these rights, email support@analogyai.org. We will verify your request and respond within the time required by applicable law. You may also authorize an agent to act on your behalf, and you may lodge a complaint with your local data protection authority.
California residents: the categories of personal information we collect, our purposes, and our disclosures are described in Sections 2–4 above. We do not sell or "share" (for cross-context behavioral advertising) personal information as those terms are defined in the CCPA/CPRA, and we do not use or disclose sensitive personal information for purposes requiring a right to limit.
9. Data Contributors
If you contribute data to Analogy AI or perform project work for us:
- We collect the information you provide when onboarding (contact details, payment details, qualifications) and the work product you submit.
- Work product you submit for a project is governed by your contributor agreement, including its consent and intellectual-property terms.
- We use your personal information to manage projects, pay you, ensure quality, and meet legal obligations. Where a project involves collecting data about you (such as voice or images), we will provide project-specific notice and obtain any consent required by law before collection.
10. Children
Our Services are not directed to individuals under 18, and we do not knowingly collect personal information from them. If you believe a minor has provided us personal information, contact support@analogyai.org and we will delete it.
11. Third-Party Links
Our websites may link to third-party sites and services. Their privacy practices are their own; this Policy does not apply to them.
12. Changes to This Policy
We may update this Policy from time to time. We will post the updated version with a new effective date, and for material changes we will provide additional notice (such as email or a website banner).
